CONSTITUTION

of the

PLANTATION PARK SINGERS BOOSTER ASSOCIATION (PPSBA)

 (Established September 1996; last revised October 2023)

 Article I:  Name

  1. This association shall be known as the Plantation Park Singers Booster Association (hereafter known as the Association).
  2. This Association will include the parents, relatives, friends, approved volunteers, & music director of the Plantation Park Singers Chorus.
  3. The principal meeting place of this Association shall be in the Plantation Park Elementary School Music Room, or at any other place that the board of directors may appoint or the activities of the Association may require.

 Article II:  Purpose

 To promote & encourage community/area support of the Plantation Park Elementary School music department, especially the Chorus, with the following objectives:

  1. To involve the community in supporting the music department.
  2. To supplement school board support of music activities.
  3. To provide financial support for non-school activities.
  4. To encourage students to participate in the activities of the Association.
  5. To encourage music department exposure.
  6. To provide financial assistance & services for the music department and to all supportive units as may be added.
  7. To aid in the development of student interest.
  8. To promote student leadership & responsibility.
  9. To arouse and maintain an enthusiastic public interest in all phases of the music department.
  10. To cooperate with those in charge of the music department & the school board to the end that the school music department maintains the highest possible degree of efficiency.
  11. To bring into closer relationship the home & school, that parents & the music department may cooperate intelligently in all phases of the school’s music program.
  12. To aid the music program in such manner as members of the Association & the music director shall deem fitting & proper.
  13. To stimulate student & community interest in appreciation of the school music program.
  14. To promote & encourage student cultural improvement through appreciation of fine music.
  15. To actively support all performances of the school music program.
  16. To lend all possible support, both moral & financial, to all music programs at Plantation Park Elementary School.
  17. To serve as a means of communication to keep parents of the Plantation Park Singers informed as to the activities & projects of the Chorus.
  18. To provide for the Plantation Park Singers those things over & above those which are provided by the school board, such as: technology, musical and sound equipment, supplies, costumes, uniforms, set pieces, sheet music, student incentives, etc.
  19. To make all plans & carry out fundraising for support of activities & projects.
  20. To assume responsibility for publicity covering any activity or project sponsored by the organization.
  21. To maintain enthusiastic interest in music department activities in cooperation with the music director & the school administration.
  22. To work with & assist the music director.
  23. To aid in the improvement of all music programs at the school through a better understanding of the goals & the purpose of the music department & to give moral & financial assistance whenever possible.
  24. To assure that music interests are represented & considered in School Improvement Goals, thereby ascertaining that music remains a vital area of learning at Plantation Park Elementary School.
  25. To provide extra activities; refreshments; an end-of-year party or banquet; awards, in keeping with school policy & approved by the executive board & the music director; and funds for any projects, activities, equipment, or trips that might be proposed & approved.

 Article III:  Structure

  1. Under the provisions specified in the bylaws, this Association shall be governed by the elected officers, the executive committee, & the membership, with the cooperation of the school music director.

BY-LAWS 

of the

 PLANTATION PARK SINGERS BOOSTER ASSOCIATION (PPSBA)

 Article I:  Membership

  1. The membership of this Association shall include any adult willing to promote the purposes of this Association.
  2. Parents of pupils active in the Plantation Park Singers are automatically active members, as is the Music Director.
  3. Membership shall be for a one-year period.
  4. Members shall not be required to pay a membership fee.
  5. Each member shall have one vote on any matter under consideration by the membership at a meeting of the membership.
  6. Music students may attend meetings as requested by the executive board, but are not eligible for membership in the Association.
  7. The board of directors, by affirmative vote of two-thirds of all the members of the board, may suspend or expel a member for cause after an appropriate hearing, & may, by a majority vote of those present at any regular constituted meeting, terminate the membership of any member who becomes ineligible for membership, or suspend or expel any member who shall be in default in the payment of any dues or assessments.

 

 Article 2:  Officers

General Guidelines

  1. The elected officers of this Association shall be President; Vice-President for Uniforms & Costumes; Vice-President for Volunteers & Administration; Vice-President for Staging & Props; Vice-President for Music & Library; Secretary; & Treasurer.
  2. The Vice Presidents, upon satisfactory fulfillment of all duties, will be offered the presidency the following term. If more than one Vice-President is interested in the Presidency, an election shall be held to decide the office.
  3. All offices may be co-held by two persons upon vote of the membership.
  4. Appointed (or voluntary) offices shall include Historian & PTA Liaison.
  5. The Music Director may participate in an advisory capacity, serving as an Ex-Officio, non-voting member of the Association.
  6. The officers of this Association shall serve without compensation.
  7. To hold an elected office, a member must be the parent/ guardian/ relative/ designee (except for President Ex-Officio) of an active Plantation Park Singer during his or her entire term of office, & must also be member in good standing.
  8. A member shall hold only one office at a time, but the same person may hold any number of offices over several years.
  9. Officers may not be elected to more than two successive terms in the same office unless running unopposed.
  10. Officers of this Association shall serve for a term of one year, but may be re-elected.
  11. The board of directors may secure the fidelity of any or all such officers by bond or otherwise.
  12. The elected parent officers shall serve as official parent chaperones for overnight trips; the Association shall pay their expenses for trips in part or in full.
  13. All officers shall perform the duties prescribed in the parliamentary authority in addition to those outlined in these Bylaws & those designated from time to time.
  14. All officers shall transfer to their successors all books, papers, & other property of the Association in their possession after the first meeting of the year.

 Nominations

  1. Nominations will be accepted from Association members up to four weeks before & until the night of the first meeting of the year.
  2. The Association shall follow the accepted procedure of offering the office of President to the preceding Vice-Presidents if they deem any of them to be qualified.
  3. The nominee(s) accepting the nomination for President must be consulted.
  4. The slate of officers shall be presented to the Association at the first meeting of the year, & elections will be held at that time.
  5. New officers will assume their duties immediately after elections.

Elections

  1. Officers shall be elected annually & installed at the first meeting of the year to assume their duties immediately.
  2. If there is only one candidate for an office, election shall be by voice vote.
  3. If there is more than one candidate for an office, election shall be by ballot.
  4. A majority vote of the members present shall constitute an election.
  5. Elected officers shall serve a term of one year beginning after elections (usually in September) & ending after elections the following year.

 Duties of the President

  1. The President(s) shall be in communication with the Music Director & all other officers of the Association.
  2. The President(s) shall have supervision over the business affairs of the Association.
  3. The President(s) shall act as judge of all elections & declare results.
  4. The President(s) shall cast a deciding vote in case of a tie.
  5. The President(s) shall be chairman of the executive board.
  6. The President(s) shall preside at all executive & general meetings & maintain order.
  7. The President(s) shall enforce a strict observance of the Constitution & Bylaws of the Association.
  8. The President(s) shall put all questions, when seconded, to a vote.
  9. The President(s) shall direct the Secretary to call special meetings of the Association or have the power to do so himself/herself.
  10. The President(s) shall appoint all standing & special committee chairs deemed necessary to fulfill the business & activities of the Association subject to the approval of the executive board.
  11. The President(s) shall act in the capacity of coordinator for all fundraising activities & secure necessary permits for such activities.  In this capacity, he/she shall serve as chair of the fundraising committee.
  12. The President shall recruit Event Coordinators for Recorder Sales, Sing-a-Thons, & other events.
  13. The President shall facilitate discussion & implementation of other Fundraising ideas & check order forms & distribute items when they arrive.
  14. The President or a designee shall assist the Recorder Sale Coordinator with filling recorder orders every 2-3 days, getting money to the Treasurer, writing receipts, & keeping accurate records of student purchases.
  15. The President shall assist the Sing-a-Thon Coordinator with distributing notices & pledge sheets; making arrangements to cook brownies; calling high school & adult volunteers; arranging efficient 6:30pm check-out procedures; securing prizes; assembling goody bags; coordinating drinks & pizza; organizing volunteers to serve food & drinks, & clean up after, etc..
  16. The President(s) shall appoint a review committee to review the books of the Association at the end of each school year.
  17. The President(s) shall serve Ex-Officio on all committees,
  18. The President(s) or Vice President for Administration shall sign all vouchers along with the Treasurer.
  19. As soon as possible after annual elections, the President(s) shall assist the past/current Treasurer in changing the bank account signature cards to reflect newly elected names.
  20. The President(s) shall represent the Association at any meeting the Association delegates invite him/her to attend.
  21. The President(s) shall be available for advice & counsel during the year following the completion of his/her term of office, at which time he/she shall have a consultation session with the incoming President & turn over all appropriate files, reports, disks, & keys.
  22. The President(s) shall assist with presentation of chorister awards at the end of the year gala.

 Duties of the Vice-President for Uniforms & Costumes

  1. The Vice-President for Uniforms & Costumes shall research both formal & informal uniform options & costs each fall & as needed for costumes & shows.
  2. With the Music Director, the Vice-President for Uniforms & Costumes shall make decisions about what students will wear, & disseminate cost information to parents, keep notes about who is assigned which part/items & be sure all choristers have appropriate outfits.
  3. The Vice-President for Uniforms & Costumes shall arrange fittings for all choristers for t-shirts, cummerbunds & bowties, pants, tuxedo shirts, & other costumes as needed. The Vice-President for Uniforms & Costumes shall order t-shirts & disseminate.
  4. The Vice-President for Uniforms & Costumes shall organize & inform parents about Uniform Check Days & Re-check Days. The Vice-President for Uniforms & Costumes shall provide feedback to parents regarding the appropriateness of each child’s uniform & get volunteers to assist with fittings & Uniform Check Days.
  5. The Vice-President for Uniforms & Costumes shall distribute bowties & cummerbunds before concerts & collect/fold/re-bag afterwards (same for Santa hats & other costume items.) All hats must be sprayed with lice killer before packing away.
  6. The Vice-President for Uniforms & Costumes or a designee shall fit all choristers with costumes for spring shows, as needed.
  7. The Vice-President for Uniforms & Costumes shall devise & implement costume organizational system (labels, by part/row/etc.) for each show.
  8. The Vice-President for Uniforms & Costumes shall keep track of all formal uniform rentals and fees collected, in conjunction with the Treasurer, and assist with any related formal uniform rental concerns.

Duties of the Vice-President for Volunteers & Administration

  1. The Vice-President for Volunteers & Administration shall secure supervisory volunteers for each rehearsal, Sing-a-Thon, & performance (at least 3 adults per event), & inform parents how to register as a volunteer online.
  2. The Vice-President for Volunteers & Administration shall train volunteers on how to keep students on task & in the room; restroom & rehearsal procedures, & other pertinent information that will help the Music Director improve learning.
  3. The Vice-President for Volunteers & Administration shall call, use ParentLink robot-calling, FaceBook, or email parents when necessary to remind them about Chorus activities.
  4. The Vice-President for Volunteers & Administration shall recruit high school helpers for rehearsals, supervision at PPSBA meetings, Sing-a-Thon’s, etc.
  5. The Vice-President for Volunteers & Administration shall organize 2 parents to walk outside with choristers after rehearsal & supervise dismissal, & train volunteers to have parents of students picked up late (10 minutes after rehearsal) sign the late pickup sheet in the music room.
  6. The Vice-President for Volunteers & Administration shall make suggestions to Music Director on how to make rehearsals/ performances more effective & efficient.
  7. The Vice-President for Volunteers & Administration shall recruit help in transporting instruments & equipment to performance sites, & before & after performance supervision.
  8. The Vice-President for Volunteers & Administration shall assist Fundraising Event Coordinators & other PPSBA Board Members as needed.
  9. The Vice-President for Volunteers & Administration or designee shall generate/copy any needed notices, pledge sheets, etc. & place in students’ notebook slots or hand to them as they leave.
  10. The Vice-President for Volunteers & Administration shall order trophies, certificates, & other awards items, & pick up trophies.
  11. The Vice-President for Volunteers & Administration shall ask volunteers (Awards Committee) to print various awards, and once acquired, assemble an awards folder for each child & file awards in it.
  12. The Vice-President for Volunteers & Administration shall assist with awards presentation at final Chorus gala of the year.

Duties of the Vice-President for Music & Library

  1. The Vice-President for Music & Library shall assemble Chorus notebooks for every child, including cover sheet, middle booklet in sheet protectors, & choral octavos.
  2. The Vice-President for Music & Library shall keep track of which students do not receive certain pieces of music, if any.
  3. The Vice-President for Music & Library shall put new music in notebook slots as needed.
  4. The Vice-President for Music & Library shall collect, catalog, & file music in file cabinets, keep notes on who does not return music, send fee notices, keep track of who doesn’t pay lost music fees, & follow up with students.
  5. The Vice-President for Music & Library shall get practice CD masters from Music Director & arrange for copying; then label each CD w/nametag & give to students.
  6. The Vice-President for Music & Library (or designee) shall return any lost music to choristers’ notebook slots.
  7. The Vice-President for Music & Library shall make new files for new music & maintain the music library in alphabetical order by title.

 Duties of the Vice-President for Staging & Props

  1. The Vice-President for Staging & Props shall secure props & decorations needed for Sing-a-Thons, shows, & all Chorus events.
  2. The Vice-President for Staging & Props shall encourage parents who cannot volunteer time to donate items.
  3. The Vice-President for Staging & Props shall keep notes on who is assigned what part/prop, when it is needed, & which side of stage should house it.
  4. The Vice-President for Staging & Props shall make props (or delegate) & place backstage where needed for each show.
  5. The Vice-President for Staging & Props shall decorate performance spaces for each show, call parents to assist, as well as remove & store decorations after each performance.
  6. The Vice-President for Staging & Props shall assist at rehearsals with use of props; help choristers remember when to leave to get their items.

Duties of the Secretary

  1. The Secretary shall attend all meetings & act as clerk thereof, & record all votes & minutes of all its transactions.
  2. The Secretary shall keep a copy of the Constitution & Bylaws.
  3. The Secretary shall read & answer all correspondence & shall have custody of the same.
  4. Upon instruction from the President, the Secretary shall conduct all correspondence for the Association including the sending of appropriate thank-you notes.
  5. All correspondence must be pre-approved by the Music Director & /or President before copying or distribution, & copies of all correspondence shall immediately be given to the President & Music Director.
  6. The Secretary shall keep a correct record of the proceedings of all meetings of the Association & executive board.
  7. A copy of these recordings is to be given to each member of the executive board & to the Music Director within a week of each meeting.
  8. The Secretary shall present a written or electronic report of minutes at all regular meetings, including a record of all attendees.
  9. The Music Director shall provide the Secretary with a correct list of all Booster Association & Plantation Park Singers members.
  10. The Secretary shall apprise committee members of their appointments.
  11. The Secretary shall keep a file and/or electronic archive of all recordings, communications, & flyers.
  12. The Secretary shall secure all permits in advance to reserve rooms for meetings.
  13. Upon leaving office, the Secretary shall transmit all property of the Association entrusted to him/her to his/her successor.
  14. The Secretary’s final written report of all duties performed shall be given to the President upon completion of term of office, & all records of the Association.

Duties of the Treasurer

  1. The Treasurer shall be responsible for presenting the budget to the executive board for review & for presenting the budget for adoption at the first general meeting of the fiscal year.
  2. The Treasurer shall file appropriate tax forms as necessary to preserve the tax-exempt status of the Association.
  3. The Treasurer shall receive all funds due the Association, issue appropriate receipts, be solely responsible for deposit of funds in a designated depository determined by the board, & shall pay all bills upon authorization of the board.  Checks may be signed by the President, Vice President for Volunteers & Administration, & /or Treasurer.  Two signatures are required on each check.
  4. As soon as possible after annual elections, with the aid of the President(s), the Treasurer shall assist in changing the bank account signature cards to reflect newly elected names.
  5. The Treasurer shall be the custodian of all monies & dues of the Association, recording the same in a bound ledger or computer program.
  6. The Treasurer shall pay all orders when presented to him/her & approved by the Association.
  7. The Treasurer shall maintain correct accounts of all monies & shall make deposits & payments designated by the executive board.
  8. The Treasurer shall give a complete financial report at each meeting.
  9. At all meetings, the Treasurer shall submit a written report to the President, Music Director, & Secretary.  The report shall include beginning balance of the Association’s accounts, itemized income, interest earned, status of certificates held, itemized expenses, & ending balance.  A copy should be filed with the President by the fifteenth of each month or as soon thereafter as bank statements are received.
  10. Records will be reviewed at the end of the school year.
  11. The Treasurer shall prepare a summary of finances at the end of the fiscal year, which shall be available to all Association members.  Included in the report shall be an itemization of expenses & profits from each fundraising activity.
  12. The Treasurer shall sign all vouchers along with the President and/or Vice-President for Administration.
  13. In an emergency & on approval of the President or Vice President, the Treasurer may disperse funds up to a limit of one hundred dollars.  Such disbursements shall be reported to the Association at the next stated meeting.
  14. Any two elected officers can authorize emergency expenditures up to fifty dollars.
  15. During summer months, the Treasurer shall pay any bill of two hundred dollars or less when so ordered by the majority of the executive board without the approval of the general membership.
  16. All disbursements will be made by check & all deposits in the name “Plantation Park Singers Booster Association” (abbreviated P. P. S. B. A.).

 Vacancies

  1. In case of a vacancy in the office of President, a willing Vice President shall serve until a special election can be held.
  2. In the event of a vacancy in an elective office, the executive board may fill an unexpired term by appointment, pending results of special election to be held within 30 days of the vacancy.
  3. An officer or committee chairman may be removed by a two-thirds vote of the executive board.
  4. The board of directors may remove any officer or agent whenever in its judgment the best interests of the Association will be served thereby, but such removal shall be without prejudice to the contract rights of any person so removed.

Article III:  Meetings

 General Meetings

  1. A general meeting of the Association shall be held [at least four times per fiscal year] [every other month] from September through May except in January, when a Board Planning meeting shall be held. A Board planning meeting meeting will be held in the months when no general meeting occurs.
  2. The Music Director & the executive board shall determine the time of each meeting at least 2 weeks prior to the meeting.
  3. The last meeting of the school year (May) shall be known as the annual meeting at which time annual reports shall be received.
  4. The Music Director & executive board will encourage attendance by making suitable public announcements of all meetings.
  5. The executive board may change scheduled meetings.
  6. Meetings shall be open to all members.

 Special Meetings

  1. The President or Music Director may call special meetings at any time or by a majority of the executive board.
  2. All members are to receive notification for such meetings stating the purpose of the meeting.
  3. No other business may be transacted than that for which the special meeting was called.

 Quorum

  1. The members present at a duly organized meeting can continue to do business until adjournment, notwithstanding the withdrawal of enough members to leave less than a quorum.
  2. A simple majority of the members present & voting shall be sufficient to carry a motion.

 Executive Board Meetings

  1. Executive board meetings shall be held at the call of the President, Music Director, or a majority of the executive board.
  2. Executive board meetings shall be held when necessary.
  3. All members shall be given reasonable prior notice by the Secretary regarding the time, place, & purpose of an executive board meeting.
  4. The President at the following meeting of the general membership shall make a report of business transacted at each executive meeting.
  5. Three executive board members shall constitute a quorum at executive board meetings.

 Order of Business

  1. Call to order/ Welcome.
  2. Reports (President, Vice Presidents, Secretary, Treasurer, Music Director)
  3. Old Business.
  4. New Business.
  5. Open Floor.
  6. Adjournment.

 Parliamentary Procedure

  1. The latest edition of Robert’s Rules of Order, Revised, shall govern the organization in all cases to which they are applicable & not inconsistent with any provision of these Bylaws.
  2. Parliamentary law shall be the official guide for the Association on all matters where this Constitution & these Bylaws are silent.  The presiding officer shall, however, retain the authority to alter the order & procedure as he/she deems appropriate.
  3. The aforementioned Constitution & Bylaws shall govern the Plantation Park Singers Booster Association.
  4. A Vice President or the Music Director shall act as parliamentarian.

 

 Article IV:  Committees

 Executive Board

  1. The elected officers of the Association, the immediate past President, & the Music Director shall constitute the executive board.
  2. The board shall meet at the discretion of the President & /or Music Director.
  3. The purpose of the executive board shall be to facilitate business at general meetings.  This shall include the following:
    1. To review the plans & activities of the various committees.
    2. To evaluate the plans of the fundraising committee for fundraising projects & to select & present appropriate options to the membership for approval or modification.
    3. To recommend to the general membership specific expenditures either for the operation of the Association or for the benefit of the Plantation Park Singers, in keeping with the guidelines of the annual budget.
    4. To recommend to the general membership modifications to the annual budget approved at the first yearly meeting.

 General Committee Guidelines

  1. Standing committees are those that function year-round or that have significant impact upon total operations of the Association. These committees may include: Budget, Bylaws, Program, Publicity, Telephone, Uniform, & Fundraising.  These shall consist of members from the general membership & shall not be limited in number.
  2. The President for specific assignments from time to time throughout the year may establish special committees.  These may include:  Awards, Bake Sales, Banquet, Parties, Cookies, Refreshment Stand, & all special projects.
  3. The President with the approval of the executive board shall appoint a chairman for each committee.  Terms shall be for one year, & any Association member is eligible to serve.  A chairman shall have general supervision of the committee, shall hold meetings & conduct business when necessary, & shall submit a report to the executive board periodically & present a report at each general meeting.

 Review Committee

  1. There shall be a review committee consisting of three members appointed by the President to review the books of the Treasurer at the close of each school year.
  2. Upon completion of the review, the review committee shall submit its report to the executive board.
  3. The review committee shall develop & submit a proposal to the executive board each year for the adequate & continuous insurance coverage for the organization & all of its activities.

 Budget Committee

  1. The budget committee shall consist of the Music Director, & the elected officers.
  2. The budget committee shall prepare & submit to the Association a proposed budget at the first regular meeting of the school year.

 Bylaws & Constitution Committee

  1. The Bylaws & Constitution committee shall consist of three members who will review the Constitution & Bylaws at the end of the school year & recommend changes.

 Publicity Committee

  1. The publicity committee shall handle publicity related to the activities of the Association.
  2. The publicity committee members shall be members of the Association.
  3. The publicity committee shall assure that Chorus events are advertised on school marquis, in the school newsletter, & in other appropriate venues.

Uniform/Costume Committee

  1. The uniform/costume committee shall assist the Music Director & Vice-President for Uniforms & Costumes in maintaining records of student uniform numbers, in distributing uniforms, & in the general maintenance & fitting of uniforms, & other special costumes.

Fundraising Committee

  1. The fundraising committee shall recommend ways of raising funds necessary for financing the activities of the Association & shall coordinate & implement them upon approval of the membership.
  2. The co-chairmen of the fundraising committee shall keep records of suppliers & project evaluations, & turn in all monies to the Treasurer.

Committee Finances

  1. Any committee may be given a monetary advance to set up a project by majority action of the executive board.
  2. Committees engaging in fundraising projects or entering into contracts must have approval by a majority of the executive board before the Association’s name may be used or for financial obligations incurred.
  3. All bills for expenses incurred by a committee should be approved promptly by the Executive Board & forwarded to the Treasurer so that vouchers may be prepared for payment.

 

Article V:  Finances

  1. The Association is tax exempt & shall make every effort to maintain its status as a tax-exempt organization.
  2. Monies or funds raised by, for, or in the name of the Plantation Park Singers under the sponsorship of the Association become the property of the Association.
  3. Such funds are to be used only to cover minimal operating expenses & to support approved projects, activities, & programs of the Plantation Park Singers.
  4. All monies collected by this Association shall be used to finance the Plantation Park Singers in the areas of travel, music purchase, uniform or props purchase, awards purchase, accompanist payment, & any other area of need identified by the Music Director & executive board.
  5. The fiscal year shall be from October 1 to September 30, annually.
  6. Monies shall not be returned to a student. However, if a student has a younger or older sibling in Chorus, that child may be credited any amount in the first child’s account upon written or emailed request of the parent.  Since paid through the school, trip deposits can not be refunded by PPSBA.
  7. In the event a student moves, graduates, or quits the Plantation Park Singers, the monies become a part of the general fund of the Association.
  8. Parent contributions given in support of student earned activities will be recorded as such.
  9. All monies raised by the Plantation Park Singers & /or the Plantation Park Singers Booster Association shall be placed into one general account.
  10. Individual student accounts shall be kept in each child’s name on paper ‘only.  Any funds left in children’s accounts at the end of the school year will be transferred into the general association fund.

 

Article VI:  Awards

  1. The Association shall recognize all first-year choral students with a certificate of participation & a pin (or similar) to be worn on the uniform at future performances.
  2. The Association shall recognize all second-year choral students with a certificate of participation and a medal (or similar).
  3. The Association shall recognize all third-year choral students with a certificate of participation & a trophy.
  4. The Association shall recognize all students who attain Perfect or Outstanding Attendance at all Chorus events over the course of the year with an attendance certificate.
  5. The Association shall recognize all Chorus officers with a certificate & pin or other appropriate gift.
  6. The Association shall recognize Most Outstanding Third, Fourth, & Fifth-Grade Chorus students with certificates & medals or trophies.
  7. The Association shall recognize the Most Improved Chorister, Most Outstanding Musician, & Most Outstanding Overall Chorister with certificates & medals or trophies.
  8. The Association shall recognize all those who pass musicianship tests with at least 90% with a certificate and appropriate token.
  9. The Association shall recognize any student selected to perform at any county or state music festival with a certificate of completion or plaque.
  10. The Association shall recognize all parent helpers over the course of the year with certificates of appreciation.
  11. The Music Director shall make final decisions on awardees.
  12. Awards shall be funded by Plantation Park Elementary School, the Association, & /or by fundraising committee projects.

 

 Article VII:  Dissolution

  1. Upon dissolution or disbandment of this Association, any & all unallocated cash funds shall be turned over to the school for exclusive use in the music program.

 

Article VIII:  Standing Rules

  1. All matters pertaining to the activities, events, & projects of the Plantation Park Singers & the music parents Association must meet with the approval of the Music Director & must be in keeping with the policy of the school district.
  2. The Association shall maintain a box for receiving mail at the school.
  3. Equipment of the Association is not to be lent to any persons or organizations for use outside of the school buildings or grounds without Board approval.
  4. Each member shall have an equal right to speak on all matters brought before the Association.
  5. Persons granted the right to speak will give their names.
  6. No matters will be discussed that originate outside the Association.  An Association member will introduce all matters.
  7. Political speakers will not be allowed to occupy the time of the Association.
  8. Should any grievance arise within the Association, the executive board, & /or the school Music Director, the following steps shall be taken:

a.      The grievance shall be specified in writing & to the person involved at a regular meeting.

b.      The grievance shall be taken to the school administration.

c.      The grievance shall be taken to the board of education.

 

Article IX:  Amendments

  1. Any proposed changes or amendments shall be submitted in writing to the executive board thirty days prior to a regular meeting, at which time they will be voted upon.
  2. These Bylaws shall be made available on the Chorus website year-round and shall be reviewed for revision every year beginning with the year 1997.
  3. This Constitution may be amended at any regular meeting of the Association by a majority vote of those in attendance, provided that the Secretary has given 14 days written notice, including the full text of the proposed amendment, to the full membership.
  4. All resolutions, with the names of the persons making the motion & seconding, must be presented in writing in correct form to the Secretary of the executive board.
  5. All resolutions must be approved by a majority vote.
